Position Summary
The Office Manager is responsible for the day-to-day administrative and operational functioning of the organization’s office. This role serves as the primary point of contact for visitors, members, vendors, and service providers. The Office Manager ensures that office systems operate efficiently, communication flows smoothly, and administrative processes support the mission and programs of the organization.
The successful candidate will be highly organized, dependable, and able to manage multiple responsibilities while maintaining a welcoming and professional environment.
Office Management & Administrative Responsibilities
- Manage daily office operations and maintain an organized and efficient office environment
Serve as the first point of contact for visitors, members, vendors, and phone/email inquiries; direct inquiries appropriately
- Coordinate and interact with building and property vendors, including: HVAC, plumbing, lawn and grounds services, other contractors and service providers
- Schedule and manage vendor access to the building; handle routine facility issues
- Update and maintain the church database
- Coordinate new member information and records
- Provide clerical and administrative support to staff and leadership as needed, including newsletters, mailings, and correspondences.
- Maintain orderly office operations and records
- Assemble reports and documents
- Maintain calendar for staff and shared spaces
- Manage facility reservations and room scheduling
- Order office and church supplies as needed
- Assist families with logistics of baptisms, weddings and funerals
- Oversee office processes so the organization runs smoothly
- Coordinate and oversee office volunteers
Required Qualifications
- High level of proficiency in Word, Excel, and database systems
- Strong organizational skills and attention to detail
- Ability to work independently and manage multiple responsibilities
- Proven self-starter with good judgment and discretion
Preferred Qualifications
- Experience working in a nonprofit or church setting
- Familiarity with donor management or contribution tracking systems
